Policies on examinations outside specified times/deferred examinations
1. The School expects that students will make themselves available for examinations held during the semester and in the central examination period. Refer to the University Academic Calendar for central examination period dates. Refer to the Week One Document for details of School-based examinations.
2. In exceptional circumstances, students may apply to take their examinations outside specified times - i.e. at alternative times either before or after the dates delineated by the University examination timetable or by the relevant Unit Coordinator.
3. Applications must be submitted prior to or within 3 working days of the examination date, and must be accompanied by appropriate substantiating documentation such as: a doctor's certificate indicating the nature and duration of the medical condition; a statutory declaration indicating exceptional circumstances with supporting documentation attached (eg. Counsellors letter); or a letter from employing authorities.
4. Usually, students should not need to make applications for examinations outside specified times/deferred examinations on more than two occasions in their course careers. In situations where an application is received from a student who has already had two applications approved during the same course the following will apply:
4.1 The student must submit additional written documentation that outlines his/her case for seeking a further deferred examination; and
4.2 The student may be required to attend an interview with the Course Coordinator and/or Head of School.
5. The School maintains a data-base of the applications received and the decisions made in order to monitor these policies.
6. Students who are dissatisfied with the decisions in relation to their applications may outline their concerns in writing to the Head of School.
Procedures
Centrally based examinations
1. Students must complete an Application for Deferred Examinations Form ( DEF form ) available to download from this site or from the Student Services office on any campus.
2. The DEF form and accompanying substantiating documentation is to be lodged at Student Services for processing. Applications are considered by the School's Student Administration Officer who informs the Examinations Office. Students will be notified in writing of the outcome by the Examinations office.
School based examinations
1. Students must complete an Application for Deferred and Outside Specified Times School Based Examinations form available to download (PDF, 28KB) from this site or from the Humanities Program office.
2. The application form and substantiating documentation is to be lodged at the Humanities office for processing. Applications are considered by the Student Administration Officer who will notify the outcome by email to students.
